overview

Electronic Health Records (EHR) systems are critical for managing patient data in healthcare environments. However, legacy systems often fail to meet the needs of modern healthcare professionals, leading to inefficiencies, data errors, and frustration. This project aimed to redesign a user-friendly EHR system that supports doctors, nurses, and administrators in delivering better patient care.

The Goal

To design and implement a modern EHR system that:

  1. Simplifies workflows and minimizes errors.

  2. Improves data accuracy and accessibility.

  3. Offers customizable dashboards for different user roles.

  4. Integrates seamlessly with existing healthcare tools and technologies.

Problem

The legacy EHR system presented several challenges:

  • Cumbersome Interfaces: Navigating the system was time-consuming, especially for new users.

  • Data Errors: The lack of clear workflows led to frequent mistakes in patient data entry and retrieval.

  • Poor Integration: The system failed to integrate seamlessly with other healthcare tools, creating silos of information.

  • Limited Customization: Users couldn’t tailor the system to their specific roles and workflows.

These issues significantly hindered the efficiency and accuracy of healthcare professionals, ultimately affecting patient care.

Research & Insights

Key Findings:
  • Users needed a system that prioritized ease of use and minimized cognitive load.

  • Role-specific dashboards were crucial for improving task efficiency.

  • Seamless integration with external systems was a top priority.

Designing the Solution

Strategy & Ideation
  • Personas: Created profiles for key users like Sophia, Angela and Dr. Martinez to guide design decisions.

  • Journey Mapping: Identified pain points in existing workflows and opportunities for improvement.

  • Wireframes: Developed initial layouts focused on simplifying navigation and improving task prioritization.

1

UI & Visual Design
  • Streamlined Design: Created a clean, intuitive interface with role-specific dashboards.

  • Enhanced Usability: Focused on making the system intuitive and easy to navigate for all users by simplifying workflows and providing clear visual cues, improving overall efficiency.

  • Consistency: Built a scalable design system for future updates.

3

  • Clickable Prototypes: Designed interactive prototypes to simulate key workflows, such as patient data entry and retrieval.

  • Usability Testing: Conducted tests with target users to gather feedback on functionality and usability.

  • Refinements: Iterated on designs to address feedback and enhance the overall experience.

Prototyping & Testing

Reflection

The EHR System Project was an opportunity to create meaningful change in a critical healthcare tool. By focusing on user needs, iterative design, and seamless integration, we delivered a system that improved efficiency and accuracy while reducing frustration. This project highlighted the importance of collaboration, empathy, and adaptability in solving complex design challenges.

Understanding the Users

Female Doctor
Sophia, the Nurse
  • Role: Manages patient vitals, medication records, and routine updates.

  • Pain Points: Struggles with slow navigation and unclear workflows, leading to delays.

  • Needs: An intuitive dashboard to streamline routine tasks and reduce errors.

"As a Nurse, I want a dashboard that allows me to quickly update patient vitals and medication records,
so that I can complete my routine tasks efficiently and avoid delays caused by system navigation issues"
Smiling Male Doctor
Dr. Martinez, the Physician
  • Role: Reviews patient histories, diagnoses conditions, and prescribes treatments.

  • Pain Points: Find it challenging to locate critical information quickly.

  • Needs: A unified view of patient data for informed decision-making.

"As a Physician, I want a unified view of patient histories and diagnostic data,
so that I can make informed decisions without spending extra time searching for critical information"
Smiling medical professional
Angela, the Administrator
  • Role: Manages hospital schedules, staff assignments, and overall operations.

  • Pain Points: Difficulties with coordinating schedules across departments and accessing real-time updates.

  • Needs: A centralized system manages schedules, monitors resource allocation, and ensures smooth hospital operations.

"As an Administrator, I want a centralized system for managing hospital schedules and monitoring staff assignments, so that I can ensure the smooth operation of the hospital and quickly address any resource allocation issues"
